Group structuring and creation

After completing your registration and confirming your email, it's time to create the groups according to your organizational structure. They can be by area, management, location, units, leadership, segmentation, etc.

Let's use the example of the following organizational structure, remembering that this is a complete example, already considering some good practices, but you can assemble the way you consider most important for your company.



It is important to note that when a person responds to a survey his/her feedback (qualitative and quantitative) is linked to the groups to which he/she belongs as a member and to the groups that are above the hierarchical structure.

Employees linked as group managers will have the view of the numbers and feedbacks of their respective groups and sub-groups. Always respecting the rules of anonymity and hierarchical structure (the standard is more than three respondents).



Let's go!

Remembering that only admins will be able to create and edit groups, managers will only have access to the groups they have been linked to and will not be able to make edits. You can also import or integrate your user base and groups using an import spreadsheet or the product integration API.

You will go to this screen:



Click the yellow "NEW TEAM" button.

This screen will open:



Fill in the data.

Team name: the name of the group, for example: "Company A";

Managers: people who will have access to the reports and feedback of the group. We can also use this field to assign access to Business Partners;

Members: the members of this group, they do not have access to the reports, only to the feedbacks that have been sent by them;

Active group: when active, the quantitative and qualitative feedback will be linked to the group. It is common for companies that have no interest to start sending the invitation immediately, create the users and groups in an inactive way, and in the future activate the groups to trigger the invitations (groups and users: inactivate and activate). Remembering: you create users in an inactive way through integration into the advanced plan.

Starting the creation of each group the fill will look like this:



Initial groups are typically companies, boards, and targeting groups.

Click SAVE

It's ready. You have started the creation of the groups that represent the departmental structure of the company. Now we will proceed with the creation of the other groups: Board of Directors, Finance Board, Payable Accounts, São Paulo Region, Luena Candeias (CEO), Luena Candeias (CEO) - Directs, Daisi Boaventura (Director), Daisi Boaventura (Director) - Directs.

We will now create the Board of Directors, Finance Board, and Payable Accounts groups.

Click the yellow "NEW GROUP" button and repeat the previous step for each of the groups.




Notice that here we add Deborah who is BP of the "Finance Board" team. This will allow Deborah not only to track the engagement score of a leader but be able to have a team view. That way, if a team changes leadership, Deborah can understand the impact of this change.



Within our example structure, we have Rafael as a member of the "Payable Accounts" group. However, again it is important to point out that the quantitative and qualitative feedback will respect the structure of groups and subgroups (Payable Accounts -> Finance Board -> Board of Directors -> ACME Group), so their answers affect the grade of all groups in the structure.

It's time to link the groups and subgroups. Click on the Edit button of the "Finance Board" Group and link as a subgroup the "Payable Accounts", do the same in the "Company A" group with the "Board of Directors" and "Finance Board" group.




After we finish all the edits, it is possible to navigate the structure by clicking on the upper right arrow in the group image, in this way you can navigate to the "Payable Accounts" group and view the members.



It's ready. We finished the example of the group structure with the view of the company's departments. Now let's talk about group segmentation.

Creating segmentation groups is very important to have a differentiated visualization. It works as a categorization of collaborators to have complementary views to study. The creation process is very similar. You only have to determine where the segmentations will stay. Usually, companies register as an initial group or within a group of divisions by companies (when dealing with a group of companies and not with a single company).



As we linked Rafael in this group, his answers will be linked in the group structure of "Payable Accounts" and in the group "São Paulo Region".

Finally, to conclude our example, we can perform the same steps to set up a group structure with a leadership vision, much used to assign the engagement grade to the leader's development. Here we can follow the metrics with a leadership look. Even if the leader's team changes, it is possible to understand these changes' impact concerning the leader's grade.

An excellent practice is to create a group of direct leaders below the leader's group. So we can track the engagement scores of the people who are on their management and the leaders who are below them.



Done! Our example structure will look the same as the image below.



Some notes:

By clicking " > " you will have access to each subgroup that these main groups have and so on.
You can create groups without people and add them later.
Administrators will have access to information of all groups and subgroups, and it is not necessary to put yourself as a manager in each group.
When we delete a group, the feedbacks that were assigned to the above groups are retained: all removal is just a logical removal;
A user cannot be a member of a group that is a subgroup in which it is a manager;
When we activate a parent group, it activates the child groups and the member users and managers of those groups;
When we inactivate a group, it inactivates the hierarchy and asks if you want to inactivate users;
By editing an active group, it will always trigger the invitation email booster for users who have not confirmed account.

After the group is created, in reports, group administrators and managers will be able to view and filter the groups they are responsible for, as shown in the image below:
