Creating an action plan or an engagement pill.

First, we will understand what is continuous improvement. In this way, we will give due value to the action plan in the platform.

Continuous improvement is a practice adopted by several companies that aim to continuously achieve better and better results – be they in the company's products and services or its internal processes.

We used as a reference the philosophy of Kaizen and the Build - Measure - Learn hypothesis validation technique and created the Question - Act - Evolve cycle. So leaders and/or HR can validate their hypotheses with teams quickly and effectively, reducing waste and increasing employee engagement. We do this through surveys, feedback, metrics, and the action plan, or as we prefer, engagement pills.

Here in the company, we call the action plan the engagement pill. Because in the traditional concept, we create an action plan on an annual basis within the companies as soon as the climate survey or traditional engagement survey is carried out. Whereas the concept of action plan within TeamCultureis not the same. It is something alive that should be applied to work with continuous improvement, always looking to improve now, always creating an immediate action.

Of course, there are larger scopes that involve the entire company. Usually, these actions are not carried out only by leaders but in conjunction with HR.In this scenario, it makes a lot of sense to create an action plan that proposes to work on a solution with longer deadlines, ensuring the collaboration of everyone in the company.

But after all, how can we work by building an action plan or these engagement pills?

We started our survey, collected feedback, analyzed the metrics, even built a custom survey to understand our team more deeply and then the expected time came to work with the team on possible solutions to improve our organizational climate.

There are currently two ways to build an action plan:

In the engagement report;
In the action plan area.

When we are in the engagement report, we can click on the yellow "Action Plan" button.




When we click on this button, will appear a right side menu, click on the "new action" button.




Automatically the platform already starts the creation of the action plan with the selected company or group, if you wish you can click the expand button to change the group.



To create an action plan it is important to have focus, try to work one theme at a time, in this way we will have greater effectiveness and a guarantee of success. Do not forget to treat the action plan by thinking about goals and indicators.

Let's create an example based on the scenario created in the custom survey article.

In this scenario, the main focus is to ensure the improvement of the feedback frequency, when sending the custom survey the manager received some answers.

Can you tell me what feedback is for you?

Answers:

- I see feedback as a formal assessment when the manager stops and listens to me;
- For me feedback is part of everyday life, whenever some member of my team says
they liked something or did not like something, I understand this as feedback;
- I like it when they say I'm doing a good job.

Is there any technique we could adopt to improve feedback frequency?

Answer:

- Monthly;

- Biweekly;

Evaluating the answers, we realized that there is a divergence of understanding regarding what would be a good frequency of feedback and even about what is feedback and how it can be practiced in the company. Therefore, the first action is to equalize the understanding between all members of the team through some dynamics or conversation.Then we put together an action plan with this understanding as a team.

In this scenario we conclude that we will treat the frequency of feedback as follows: We will seek to give feedback informally whenever there is something positive or constructive to be said, always using the phrase "I'm giving you feedback to help you in your development regarding..." and we will practice the Kudos technique every 15 days, seeking to have a greater exchange of positive feedback among the members of the team. Of course without ceasing to carry out the 1:1 feedbacks that were already carried out 1 time per month.

Now we're talking! The time has come to create the action plan on the platform with the activities that we will practice.

1) Enter the title of your goal: ensure improved feedback frequency. The description is optional.



2) Select the feedback pillar.



3) Create the activities to be carried out:

Feedback informally practicing the phrase "I'm giving you feedback to help you in your development";
Practice Kudos every 15 days;
Continue with 1: 1 feedback once a month.



4) Set a goal for your pillar score, we recommend increasing at most 0.5 per action plan, it is not common for a score to increase much for a short time. Remembering that the higher your grade, the more difficult it will be to achieve this recommended improvement. Always look at the history and evaluate if you will be able to improve those points without support from other areas during the given period.



5) Every goal needs to have a deadline. We recommend working with a deadline of 1 to 3 months maximum, always revisiting the plan and focusing on the development of the pillars based on metrics (always working data-oriented).




It's ready. Now just save the action plan by clicking the CREATE button and track your action plan in the action plan area. To access this area just click on the action plan menu on the left side.



In this area, you can use the CREATE NEW button to draw up new action plans, use filters, and search to find an action plan and mainly follow the progress of the action plan that has already been created.



To finish the activities that have been planned, just click on the pencil drawing and mark the activities, saving the action plan.
